POST-CLOSING MANAGER

Position Summary

Loanhouse is seeking an experienced, highly organized, and technology-driven Post-Closing Manager to lead the review, completion, and delivery of funded residential Non-QM mortgage loans.

This individual will oversee the post-closing team and ensure that funded loans are complete, accurately documented, properly recorded, delivered within required timeframes, and ready for sale to investors. The Post-Closing Manager will also coordinate the timely resolution of document deficiencies, investor conditions, collateral issues, and trailing-document requirements.

The ideal candidate is a hands-on mortgage operations leader who understands the importance of loan salability, document integrity, disciplined follow-through, and measurable accountability.

The Opportunity

The Post-Closing Manager will serve as the operational bridge between funding and the successful sale or transfer of each loan. This position directly influences liquidity, investor relationships, warehouse-line efficiency, loan quality, and financial performance.

You will also help Loanhouse develop AI-supported post-closing controls within LOiS. Your expertise will help us automate document inventories, compare executed documents with electronic loan data, identify missing or defective items, manage trailing documents, and resolve deficiencies before they delay an investor purchase.

Key Responsibilities

• Lead and manage Loanhouse’s post-closing operations, personnel, priorities, procedures, and performance standards.

• Oversee the timely receipt, imaging, indexing, review, and organization of executed closing packages.

• Ensure funded loans are reviewed for completeness, accuracy, proper execution, notarization, recording, and compliance with Loanhouse and investor requirements.

• Confirm that electronic loan data, underwriting approvals, closing documents, funding information, and post-closing records are consistent.

• Assign, monitor, and resolve post-closing deficiencies, missing documents, execution errors, and outstanding conditions.

• Coordinate document corrections and cures with closers, funders, account managers, title companies, settlement agents, borrowers, and other parties.

• Manage the receipt and tracking of recorded mortgages or deeds of trust, final title policies, assignments, mortgage insurance documents, and other trailing documentation.

• Oversee collateral-file preparation, custody requirements, note endorsements, assignments, and document delivery.

• Coordinate with shipping, secondary marketing, accounting, compliance, quality control, investors, and warehouse providers to support timely loan sales.

• Review and respond to investor suspense items, purchase conditions, document exceptions, and post-purchase requests.

• Establish service levels, aging standards, escalation procedures, and reporting for post-closing activities.

• Monitor employee workloads, accuracy, productivity, and adherence to established procedures.

• Identify recurring defects, responsible process points, and corrective actions necessary to prevent future occurrences.

• Maintain accurate post-closing statuses, notes, documents, conditions, dates, and reporting within LOiS.

• Provide management with timely reporting regarding file completion, suspense items, trailing documents, investor conditions, and loans at risk of delayed purchase.

How You Will Help Us Innovate

• Help define the post-closing documents, data points, signatures, endorsements, recording information, and investor requirements that AI should validate.

• Develop intelligent document inventories and workflows that recognize missing, incomplete, inconsistent, or improperly executed documents.

• Evaluate AI-generated post-closing findings and provide the subject-matter expertise necessary to improve accuracy and reduce false positives.

• Help design automated tracking, reminders, escalation protocols, aging reports, and accountability controls for unresolved items. • Identify patterns in document defects, investor suspenses, and trailing-document delays and translate those findings into process improvements.

• Collaborate with other department leaders to create AI-enabled controls that prevent post-closing defects earlier in the loan lifecycle.

• Ensure that automation strengthens accountability and loan quality while preserving appropriate human review and management oversight.

What Success Looks Like

Success in this position means producing complete, accurate, investor-ready loan files; resolving deficiencies quickly; minimizing purchase delays; and maintaining clear accountability for every outstanding item.

Performance may be measured through loan-purchase turn times, post-closing defect rates, investor suspense rates, document-cure times, trailing-document aging, warehouse dwell time, data accuracy, file completeness, team productivity, and preventable financial losses.

Qualifications

• Significant residential mortgage post-closing experience, including experience supervising personnel or managing a post-closing function.

• Strong knowledge of executed mortgage documents, collateral files, trailing documents, recording requirements, title policies, endorsements, assignments, and investor delivery standards.

• Experience with wholesale, correspondent, Non-QM, or secondary-market loan delivery is strongly preferred.

• Familiarity with investor purchase conditions, warehouse requirements, document custody, and loan salability standards.

• Demonstrated ability to manage multiple deadlines, employees, loan pipelines, exceptions, and external parties.

• Strong leadership, analytical, organizational, problem-solving, and written communication skills.

• Ability to identify root causes, establish corrective actions, and hold individuals accountable for timely resolution.

• Exceptional attention to detail and commitment to document integrity, data accuracy, and operational controls.

• Comfort working with mortgage technology, document-management platforms, automated workflows, reporting tools, and AI-assisted reviews.

• A proactive, hands-on, accountable, and solutions-oriented leadership style.
